HUEX GRAN FONDO

These regulations may be corrected, modified, or improved at any time by the Organizing Committee, as may any information, rules, or sections necessary to ensure the optimal execution of the event. By completing the registration process, participants acknowledge and accept these Regulations.


These Regulations shall be strictly complied with by all participants in the event known as the HUEX GRAN FONDO. Any matter not covered herein shall be resolved by the HUEX GRAN FONDO Jury, the Event Sports Director, a Member of the Organising Committee, and a Riders’ Representative.

Art. 1 ORGANISATION

The HUEX GRAN FONDO event is organised by TerraIncognita Global S.L..

Art.2 RACE

The HUEX GRAN FONDO is a cycling sportive event registered under the category: UCI Cycling for All – M.C. Code.

The HUEX GRAN FONDO will take place on Saturday, 19 September 2026, starting at 08:00 AM. The event will start in the town of Aracena.

The HUEX GRAN FONDO is a non-competitive cycling sportive, whose main objective is to enjoy the route, the surrounding environment, and the shared sporting experience.

During the first part of the route, up to approximately kilometre 47, the race will be run at a controlled pace, with an average speed of around 25–30 km/h; this will be higher on the downhill sections and lower on the uphill sections, in order to keep the peloton compact and prevent riders from falling outside the safety zone in the early stages of the race.

During this section, cyclists must not overtake the Guardia Civil motorcycle or the lead organisation vehicle, which heads the event and sets the front of the peloton at any time.

Riders will be free to ride at their own pace once they reach the N-433. From this point onwards, each participant may ride at their own pace, although please note that the HUEX GRAN FONDO remains a non-competitive event and that extreme caution must be exercised at all times.

Once overtaken by the green flag, which marks the end of the safety convoy, participants will be riding on open roads and must comply at all times with traffic regulations as well as with the instructions given by law enforcement authorities and the event organisation.

The finish line will close at 5:00 PM (17:00) on the day of the event.

Article 3. SPORTING CONDUCT AND RESPECT FOR THE ENVIRONMENT

The HUEX GRAN FONDO is held with the utmost respect for the environment.

Participants must respect the environment in which the event takes place and keep the environment clean. To do so, they must eat and drink WITHOUT LEAVING ANY CONTAINERS OUTSIDE THE CONTAINERS provided for such use.

FAILURE TO COMPLY WITH THIS POINT WILL RESULT IN THE IMMEDIATE DISQUALIFICATION OF THE RUNNER, who may be disqualified by a simple statement from any member of the Race Organizing Team.

Will be disqualified from the competition, participants who show violent attitudes or throw garbage in nature. It is mandatory to respect crops, livestock and private property in general.

Participants will be responsible for any damage caused as a result of this type of behavior.

It is strictly forbidden to receive external assistance or refreshments during the race outside the points provided by the Organization: these will coincide with the official refreshment points of the race.

Article 4: PARTICIPATION AND REGISTRATION

Participation will be open to all those who correctly formalize both the REGISTRATION and the payment stipulated for the races.

The registration fee for the HUEX GRAN FONDO shall be governed by the payment deadlines and pricing periods established on the registration page.

Registration for the HUEX GRAN FONDO implies acceptance of these regulations and confirms that the participant is adequately prepared for the event, being fully aware of the geographical and weather conditions that may be encountered in the area where the event takes place. In this regard, the participant releases the Organising Committee from any health issues that may arise as a result of their participation in the HUEX GRAN FONDO.

The runners registered for the race understand that they participate voluntarily and under their own responsibility in the event, and therefore, exonerate the Organization of the race from all responsibility, and agree not to denounce the organizing entity, collaborators, sponsors and other participants; as well as not to initiate any claim of civil responsibility towards the mentioned parties.

Art. 5 REFUND OF REGISTRATION FEE

Once registration has been completed, 50% of the registration fee will be refunded up to 30 days before the event. After this date, no refunds will be issued unless the participant has purchased cancellation insurance.

With cancellation insurance, refund requests will only be accepted if submitted up to 15 days before the event date.

All refunds will be made within 30 days from the date of acceptance of the request.

Once the request for cancellation has been made, the place becomes available to the Organization, which will assign it to the candidate at the top of the waiting list at that time.

Art.6 BIBS

Race numbers can be collected at the Aracena Municipal Sports Centre on Friday from 10:00 AM to 2:00 PM and from 5:00 PM to 9:00 PM, and on Saturday from 6:30 AM to 7:30 AM, prior to the start of the event.

Participants are required to wear their race number throughout the entire event, securely attached to the front of the bicycle and kept fully visible at all times.

Each race number is personal and non-transferable.


Each participant will be assigned a bib number which will be determined randomly in all cases, except for the first numbers which will be determined by the Organisation. 

Once the event has concluded, any race numbers and rider bags not collected within the designated collection times will not be shipped to the participant’s home under any circumstances.


Article 7. MANDATORY TECHNICAL EQUIPMENT

The use of a helmet is mandatory throughout the entire event, and participants must carry a mobile phone with a fully charged battery.
In addition, the Organisation recommends that participants in the HUEX GRAN FONDO carry the following equipment in order to complete the event safely:

  • Watertight drums and/or bags for liquids: With a minimum total capacity of 1L.
  • Specific sunglasses and gloves.
  • Sunscreen: High-protection sunscreen recommended. (Maximum protection recommended.)
  • Electrolitos y/o sales minerales.
  • Food reserve: bars, gels, fruit…
  • Mechanical spare parts for punctures.
  • Carry cash and/or a credit card for any eventualities that may arise.
  • GPS device: The use of a GPS device is recommended in order to follow the official route.

Article 8. CHECKPOINTS, FEED STATIONS AND ASSISTANCE

The event route will be marked with signs and specific wayfinding signage created for the event. The official route book (roadbook) will be published on the event’s official website. Any changes or modifications to the route will be communicated through the same channels.

Each participant must follow the entire marked route, without skipping the signs and passing through all the checkpoints.

Each participant is obliged to attend to the requests and questions of any commissaire, doctor, nurse or person in charge of refreshments, whether at the stipulated checkpoints or at any other point along the course.

It is strictly forbidden to receive external assistance or refreshments during the race outside the points provided by the Organization: these will coincide with the official refreshment points of the race. Likewise, it is forbidden to be accompanied by other people who are not registered participants in the race.

At each refreshment point there will be a specific closing time, being an indispensable requirement to pass before the established closing time in order to continue in the race.

Each refreshment post will have food and beverages that will vary depending on the kilometer where it is located. Food and beverages must be consumed at the refreshment post itself in sufficient quantity to ensure sufficient energy reserves to reach the next one, except for water, which can also be loaded in the tanks and reservoirs carried by the runner.

The race bib must be worn in order to use the refreshment area.

At the finish area in Aracena, all participants will have access to a designated area equipped with hot food, medical services, showers, and other facilities.

Art.9 START

The event will have a single start box, meaning that all participants will start at the same time.

The first kilometres through the urban section will be ridden under neutralised conditions, and participants must not overtake the red-flag motorcycles of the Guardia Civil Traffic Unit at any time.

Article 10. SAFETY CONVOY

The event takes place on closed roads within the safety convoy protected and controlled by the Guardia Civil Traffic Unit. Participants are covered by this road closure only while riding within the safety convoy (safety bub

The safety window lasts for approximately 20 minutes from the start of the race and is marked by a red flag at the front and a green flag at the rear.

Riders will be free to set their own pace once they have passed the first refreshment station at the new cemetery in Aroche. From this point onwards, each participant may ride at their own pace; however, please note that the HUEX GRAN FONDO remains a non-competitive event and that extreme caution must be exercised at all times.

Any participant who is overtaken by the green flag will be considered outside the safety convoy and will therefore be riding on open roads. From that moment on, they must comply with all traffic regulations and ride under their own responsibility.

Behind the green flag, there will be an organisation vehicle informing all participants who are overtaken by the green flag that, from that moment onward, the roads are open to traffic and that they must ride with the necessary caution and in full compliance with all traffic regulations.

Participants who fall outside the safety convoy will have their race number marked with a sticker for identification purposes. This sticker will be provided at the next nearest feed station after the participant has been overtaken by the green flag.

Art.11 APPROVED VEHICLES

The only vehicles permitted to follow the event are those officially accredited by the Organisation. It is strictly forbidden to accompany participants using any type of motorised or wheeled vehicle (including skates, bicycles, etc.). The Local Police have express authority to remove any unauthorised vehicles from the course. A sweep vehicle will follow at the rear of the event to collect participants who, for any reason, do not wish or are unable to continue. Participants who, following instructions from any member of the Organisation, are deemed unable to maintain the scheduled pace required to meet the event’s control point closing times must either board the sweep vehicle or withdraw from the event.

Article 12. BAG DROP SERVICE

Each participant may leave one bag at the bag drop area located at the start venue, which can be collected after completing the event.

The bag must be properly identified using the tag attached to the race number, which will be provided by the Organisation. Participants must hand in their bag before entering the start corral.

The Organisation will not inspect the condition of the bag or its contents and therefore will not accept any claims regarding damage to the bag and/or its contents, nor for the loss of any items contained within it. For this reason, participants are advised not to place fragile or valuable items in the bag, and to ensure that the bag is securely closed to prevent any loss during transportation.

Art.13 MEDICAL ASSISTANCE AND EMERGENCIES

Throughout the event, several medical and safety teams will be deployed and coordinated with the 112 Emergency Services through the HUEX GRAN FONDO Central Operations Team.

These teams will be distributed among the different refreshment posts and the runner will be able to request their help or assistance if needed.

All runners will submit to the doctor’s judgment whenever requested by the doctor, being the assessment of the medical team the one that prevails over any other, so the doctors may:

  • Eliminate from the race (by cancelling the race bib) any runner who is deemed unfit to continue.

  • Order the evacuation of any runner they consider to be in danger.

  • Order the hospitalization of any runner when deemed necessary.

Art.14 RETIRED Withdrawals

Withdrawals from the event must be made at the official Checkpoints. If, due to an accident or injury, a participant is immobilised and unable to reach a Checkpoint, they must activate the rescue procedure by contacting the Organisation via the Emergency Mobile Phone Number indicated on their race number.

Once at the refreshment post, the runner will communicate his desire to abandon the race to the person in charge of the refreshment post so that he can cancel his bib and identify him as having withdrawn.

It should be noted that only at the refreshment posts, indicated as points with RETURN CONTROL, there will be means of transport to evacuate runners who abandon the race. 

If a withdrawn participant chooses to return by their own means, they must still inform the feed station supervisor of their withdrawal so that their race number can be cancelled and they can be officially recorded as withdrawn. Failure to do so will result in the Organisation considering the participant missing, which may trigger a search and rescue operation.

Art.15 MODIFICATION OF THE ROUTE OR SUSPENSION OF THE EVENT

In case of bad weather conditions or force majeure, the Organization reserves the right to suspend, neutralize or modify the time slots and/or the route of the race.

In the event that the race is cancelled due to force majeure more than 7 days before the scheduled start date, a partial refund of the registration fee will be issued. The amount refunded will depend on the date of the cancellation and the expenses already incurred by the Organisation at that time.

If such cancellation occurs within the 7 days prior to the start of the HUEX GRAN FONDO, due to causes beyond the control of the Organisation, or if the event is suspended after the start has taken place, no refund of the registration fee will be provided.

Art.16 PENALTIES AND DISQUALIFICATIONS

Penalties will be strictly applied to any participant who:

  • Fail to comply with traffic regulations.
  • Fail to comply with the safety instructions issued by law enforcement authorities or the Organisation.
  • Fail to pass through the start control and any other checkpoints located along the route.
  • Litter or damage the route by discarding waste.
  • Use their own support vehicle, thereby obstructing the progress of other participants.
  • Engage in any behaviour that disrupts the normal running of the event or violates these Regulations.

Law enforcement officers and members of the Organisation will record the details of any participant who engages in any of the behaviours described above.

The Organisation is committed, both to the other participants and to the relevant authorities, to enforcing effective sanctions against such conduct.


The penalties may include:

  • Disqualification from the event.

  • Inclusion in a list of sanctioned participants, which may be published subsequently.

  • A ban from participating in future editions of the event.

  • Any sanctions imposed by the relevant authorities, should the participant’s conduct warrant such measures.

Art.17 CATEGORIES AND FINISHER MEDALS

There will be no competitive categories. However, a classification of participants who complete the event will be published according to the participant’s gender and age group.

A Finisher Medal will be awarded to all participants who complete the HUEX GRAN FONDO within the established time limit.


Article 18. COMPLAINTS
COMPLAINTS

Any participant in the HUEX GRAN FONDO wishing to file a complaint with the Event Organisation must submit a €60 deposit, which will only be refunded if the complaint is upheld in favour of the claimant.

Each complaint will be reviewed and resolved by the Competition Jury, which will consist of:

  • The sports director 

  • A representative of the Organization

  • The person in charge of the chrono (if necessary)

  • A representative of the participants.

No appeal may be lodged against the decision of the competition jury.

Art.19 EXEMPTION OF LIABILITY

The Organisation shall not be held liable for any accident in which the participant may be involved, whether as the cause or the victim. Participants must be covered by the appropriate cycling federation licence or, if not licensed, by the accident insurance provided by the Organisation.
The Organisation shall also not be responsible for any expenses or debts incurred by participants during the event, nor for any loss, theft, damage, or mechanical failure affecting bicycles or any other participant equipment.
Participants expressly release the Organisation from any liability for the loss of or damage to personal belongings under any circumstances.


Article 20. IMAGE RIGHTS

Acceptance of these Regulations implies that the participant expressly authorises TerraIncognita Global S.L. to take photographs and record video footage of their participation in any of the HUEX GRAN FONDO events. Participants also grant their consent for the dissemination, commercial use, and advertising exploitation of all images captured during the HUEX GRAN FONDO in which they are clearly identifiable, without any right to receive financial compensation.
TerraIncognita Global S.L. reserves the exclusive rights to the image of the HUEX GRAN FONDO, as well as to the audiovisual, photographic, and journalistic exploitation of the event.
Any media, commercial, or advertising project related to the event must receive the Organisation’s prior written consent. Otherwise, the Organisation reserves the right to take any legal action it deems appropriate.

Art.21 DATA PROTECTION

In compliance with Organic Law 3/2018 of 5 December on Personal Data Protection and the Guarantee of Digital Rights, participants are hereby informed that their personal data will be incorporated into a file named “Sports Event Participants”, owned by TerraIncognita Global S.L., for the purpose of managing the organisation, operation, and promotion of sporting events, publishing event classifications and results, and ensuring participant safety.
The recipients of this data are the entity itself. Participants are responsible for the accuracy and correctness of the information provided and may exercise their rights of access, rectification, erasure, and objection regarding their personal data, in accordance with applicable data protection legislation.
